Mountain Chefs Privacy Policy

Last updated: October 2026

1. Who we are

Mountain Chefs Ltd (“Mountain Chefs”, “we”, “us”) is a private chef booking service for chalets in the French Alps. We are registered in England (company number 15314242) with our registered office at 85b Headstone Road, Harrow, HA1 4PG. Our correspondence address is 183 Kingsway, Hove, BN3 4GL.

We are the controller of the personal data described in this policy. If you have any questions, email info@mountainchefs.net or call +44 7472 365944.

2. What this policy covers

This policy explains how we use your personal data when you visit www.mountainchefs.net, request a quote, chat with our website assistant, contact us, book a chef or apply to work with us. Our website links to other sites (such as Instagram, Facebook and WhatsApp); their own privacy policies apply when you use them.

3. The information we collect

  • Quote requests and bookings: your name, email address, phone number, resort, dates, number of adults and children, the service you choose and anything you tell us in your notes. If you book, we also collect your chalet address, arrival details, menu preferences and payment records.
  • Dietary and allergy information: details of allergies, intolerances or dietary needs you choose to share, so your chef can cook safely for your group. This can be health information, so we only use it to plan and cook your meals and share it only with the chef and host working on your booking.
  • Messages: what you send through our Contact form, by email, phone or WhatsApp, and conversations with our website chat assistant if you ask for them to be passed to our team.
  • Agents: if you book on behalf of a client, your name and business details and the reference you give for your client.
  • Chef and host applications: your name, contact details, experience and anything else you include in your application.
  • How you use our website: pages visited, the advert or link that brought you to us (for example a Google search or campaign tag), your device and browser type and your IP address. Some of this is collected with cookies; see section 7.

4. How we use it, and why we are allowed to

  • To give you a quote, arrange your booking and match you with a chef: because you have asked us to, so we can take steps towards and perform a contract with you.
  • To use your dietary and allergy information: with your explicit consent, which you give when you share it with us. You can withdraw it at any time, but we may then be unable to cater safely for you.
  • To follow up on a quote you requested: our legitimate interest in replying to people who have asked about our service.
  • To send you news and offers: only where you have agreed, or where you have booked with us before and have not opted out. Every marketing email has an unsubscribe link.
  • To understand how our website and adverts perform: with your consent through our cookie banner.
  • To keep accounts, invoices and tax records: to meet our legal obligations.
  • To protect our website from spam and misuse: our legitimate interest in keeping the service working. We use a disguised (hashed) version of your IP address for this, not the address itself, and delete it within two days.

5. Our website chat assistant

Our chat assistant is an automated service that answers questions about our service using our FAQs. Your messages are processed by an artificial intelligence provider to produce the replies. Please do not share sensitive information in the chat.

We keep the questions people ask, with email addresses and phone numbers removed, for up to 180 days to improve our FAQs. Your conversation is only passed to our team, with your name and contact details, if you choose “Send my details to the team”. The assistant does not make any decisions about you; our team confirms all availability, prices and bookings.

6. Who we share it with

We never sell your personal data. We share it only where needed to run our service:

  • The chef and host on your booking, who receive the details they need to prepare and serve your meals, including dietary and allergy information.
  • Service providers who work on our behalf, under contracts that require them to protect your data: website and database hosting and email sending (Floot), our office email (Google Workspace), card payments (Stripe), our business bank account, which receives bank transfers (Revolut), invoicing and accounts (Xero), messaging with clients (WhatsApp), the AI provider behind our chat assistant, our cookie banner (CookieYes) and our reviews and Instagram displays (Trustindex).
  • Advertising and analytics partners (Google Analytics, Google Ads and Meta), only with your consent through the cookie banner, to measure how our adverts perform.
  • Authorities or advisers where the law requires it, or to protect our legal rights.

7. Cookies

We use cookies that are essential for the website to work, and, only if you accept them in our cookie banner, cookies for analytics and advertising (Google Analytics, Google Ads and Meta). You can change your choice at any time using the cookie settings link on our website, or by clearing cookies in your browser.

8. International transfers

Some of our service providers store or process data outside the UK and European Economic Area, for example in the United States. Where they do, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Addendum or Standard Contractual Clauses.

9. How long we keep it

  • Quote requests that do not lead to a booking: up to 2 years, then deleted.
  • Bookings, invoices and payment records: 6 years after the end of your stay, to meet tax and accounting rules.
  • Dietary and allergy information: deleted or anonymised 12 months after your stay, unless you ask us to keep it for next time.
  • Chef and host applications: up to 2 years if we do not work together.
  • Marketing preferences: until you unsubscribe, after which we keep only a record that you opted out.

10. Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal data we hold about you;
  • ask us to correct anything that is wrong or incomplete;
  • ask us to delete your data, or to restrict how we use it;
  • object to us using your data, including for marketing at any time;
  • withdraw your consent where we rely on it (this does not affect what we did before);
  • receive your data in a format you can take to another provider.

To use any of these rights, email info@mountainchefs.net. There is no charge, and we will reply within one month.

11. Keeping your data safe

We store your data with reputable providers who use encryption and access controls, and only people who need it to run your booking can see it.

12. Complaints

If you are unhappy with how we have used your data, please contact us first and we will do our best to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

13. Changes to this policy

We may update this policy from time to time. The latest version is always on this page, with the date it was last updated.
